What does a typical HubSpot migration project cost?

HubSpot onboarding projects run $3,000–$5,000 for a fixed-scope engagement covering CRM setup, data migration, lifecycle automation, lead routing, and team training. The exact figure depends on portal complexity, the number of pipelines, and migration volume — you get a written scope before anything starts.

How long does a HubSpot onboarding take?

A typical HubSpot onboarding runs 3–5 weeks from kickoff to team training. Timelines depend on portal complexity (single vs. multi-business-unit), the number of pipelines you need configured, and the data volume being migrated. You get a written week-by-week schedule during discovery.

What's included in the one-time HubSpot audit?

A full portal review — properties, pipelines, lifecycle stages, and existing workflows — plus a data-hygiene report identifying duplicates and stale records. Pipeline-leak analysis pinpoints where deals stall or drop; the automation-gaps section flags workflows that should exist but don't. The deliverable is a written, prioritised playbook with fixes ranked by revenue impact. Turnaround is 1–2 weeks.

What's the minimum commitment on the monthly retainer?

There is no minimum commitment. The retainer is month-to-month — you can pause or cancel with 30 days' notice. Anything built during the engagement (workflows, dashboards, lists, documentation) is yours either way: source code is delivered via GitHub and HubSpot work is done inside your portal, so you retain 100% ownership.

Can you migrate data from Salesforce, Pipedrive, or spreadsheets?

Yes. Data migration is part of the Onboarding tier, and I've migrated contacts, companies, deals, and activity history from Salesforce, Pipedrive, Close, spreadsheets, and custom-built CRMs. The mapping plan is documented in writing before any records move, so you can review what will land where before the cutover.

Do I keep ownership of the workflows and code you build?

Yes — 100% ownership, no exceptions. Source code is delivered via GitHub (or directly into your repo if you prefer). HubSpot work — workflows, properties, lists, dashboards, sequences — is configured inside your own portal. There is no licensing fee, no lock-in, and no ongoing fees after a project ends.

How is AI lead scoring priced and what's the deliverable?

AI lead scoring is bundled into the monthly Retainer tier — no separate fee. As a standalone add-on to a one-time Onboarding engagement, it runs $1,500–$2,500 depending on the scoring model. A rule-based model (demographic + behavioral triggers) sits at the lower end; a GPT-4 + ICP signals model (custom prompts, weighted property scores, Slack alerts on score changes) sits at the higher end. The deliverable is a working score property, lead-tier segmentation lists, and a written tuning guide.

What's the difference between the Onboarding, Retainer, and Audit tiers?

Onboarding is a one-time build — it gets your portal from blank or messy to working, with training. Audit is a one-time diagnostic — written findings and a fix plan, no build work. Retainer is ongoing support — a fractional HubSpot admin who maintains and extends what Onboarding built, month after month.

Do you work on Upwork and how do payments work there?

Yes. I take on Upwork contracts for the same HubSpot services described here. Contracts are fixed-scope with clear deliverables, and funds are held in Upwork escrow. Payment splits are typically 50% on kickoff and 50% on delivery, or split across milestones for larger engagements — same structure as direct contracts, different platform.

What if my project doesn't fit any of the three tiers?

The three tiers cover most projects, but scope is flexible.
